Shredding Event - Tilicum Centre

Key members of the records management and archival community gathered at the University of Victoria on April 28 to share ideas about record storage and management in the digital age. The day-long conference featured a wide range of speakers, including experts from provincial and federal government, Simon Fraser University and museums.

It'sl for everyone in the record storage and management community to keep pace with the changes of the digital age and how it impacts our industry,” said Gordon. “Events like these where we share expertise and ideas will benefit not only those offering record storage, but our clients as well.”

Gail Gordon and Jenny Paiva - Access Records

Access Records and Media Management CEO Gail Gordon (left) and Client Relations Manager Jenny Paiva were on hand to greet archivists and records professionals at the AABC/ARMA VI Joint Conference 2017. The event was held at the University of Victoria.

The key note presentation was “Defending Traditional Rights in the Digital Age: A Case Study” by speakers Michelle Barroca & Margaret Teneese of the Ktunaxa Nation. Other topics included “Legal Issues in Record Keeping in the Cloud” by Darra Hoffman of UBC’s School of Library, Archival and Information Studies and “Digital Initiatives at Library and Archives Canada” by Marnie Burnham.

Access Records was one of the sponsors of the closing event, a social gathering at Yates Street Tap House.

The annual conference is organized by the Archives Association of British Columbia and Association of Records Managers and Administrators.

We will be at Hillside Mall on Saturday September 24th for a Victoria Hospice Shred Event at the Corner of Shelbourne & North Dairy (click here for a link to Google maps),  9-12pm, by donation. All proceeds are to support the hospice’s end of life care.

Victoria Shredding Company fundraiser for Fort McMurray

Access Records sent its shred truck and staff to Keating Elementary School in Central Saanich on June 4 for the school’s ‘Shred Fest for Fort McMurray’. The event was the idea of a student who attends the school. He and his family moved to the Saanich Peninsula from Fort McMurray and wanted to do something to help their former hometown.

“We are so proud of the community turn-out for our Shred Fest to support the Red Cross in Fort McMurray! Together we raised over $1,400,” said teacher Jennifer Nicolson. “We couldn’t have done it without the wonderful team from Access Records.”

Victoria Shredding Company Fundraiser for Fort McMurray

It's that time of the year again when Access Records teams up with Victoria's Better Business Bureau (BBB) to deliver our enterprise document shredding to you, the public by way of your charitable donations. Access Records and the BBB have a strong tradition of working together to help raise funds for such needy local organizations such as Victoria Hospice, Victoria Cool Aid Society and the Rotary Club of Victoria.

This year we are extremely happy to be offering our mobile shredding services on behalf of the Rainbow Kitchen. Since its inception in 2001, the Rainbow Kitchen has served up more than 36,000 nutritious, hot meals annually to marginalized individuals in the Greater Victoria area. The society is a volunteer-driven group of passionate individuals which relies on donations from several organizations as well as the general public.

So please join us and our mobile shredding truck at Tillicum Mall on May, 13 for some 'shredtastically' fun paper destruction. Shredding services are by donation and the Rainbow Kitchen will be on site cooking up some tasty hotdogs and collecting donations, all of which will be put toward the hot lunch program provided by the volunteer kitchen team. If you aren't able to make the event but would like to donate to the Rainbow Kitchen, you can do that here:

What will the future look like for corporate record-keeping? Will digital records exist in a cloud? What does that mean to the integrity and security of sensitive information? Access Records and Media Management is dedicated to riding the wave of new technology and tracking the evolution of the records management industry in order to better meet our customers’ needs.

PRISM European Information Management Conference

Late last year, our Managing Director Gail Gordon had a fantastic opportunity to meet with world players in the record keeping industry. Travelling to Barcelona, Spain, she attended the 2015 PRISM International European Conference, which was attended by industry leaders from as far away as South Africa and the United Arab Emirates. PRISM International is a not-for-profit trade association for the global information management industry.

The European conference sessions included topics such as trends in the document and information management industry and the impact of technological innovations.

“It’s exciting times for our industry,” said Gordon.

“Attending the conference offered a broader perspective which will add to our long-range plan for our business here in Canada. It is so important to stay current.”

Victoria Hospice Society

We will be at Hillside Mall on Saturday, September 26th, for a Victoria Hospice Shred Event!

Join us at the Corner of Shelbourne & North Dairy, between 9am and noon for shredding services by donation.

All proceeds are to support the hospice’s end of life care.

Come get your personal documents securely destroyed on site. We even recycle the remaining paper shreds!

Secure Shredding

Secure ShreddingDo you tear up junk mail/correspondence that has your information on it before you trash it to protect yourself from identity theft? If you are putting it all into the same container you are barely making it hard for someone to collect that info.

Even a strip shredder which merely cuts your documents into long strips adds considerable effort that will help deter information theft but even if you placed a handful of documents into a strip shredder it's still reasonable for someone to sort out the strips and get the original information.

A cross cut shredder helps make destroyed documents even harder to re-assemble but even this method leaves pieces that can be taped together if they are not mixed into other random documents.

When you hire a professional shredding company like Access Records you are not only getting certified shredding and document destruction, you are getting the peace of mind knowing that your documents will be destroyed and the pulp will be completely recycled by trained professionals.

Chain of Custody Process

Keeping your information secure at all times is our highest priority. Access Records has a variety of flexible document destruction services that fully comply with the current legislative standards.

Not only do we offer onsite pickup services to eliminate the possibility of insecure access during transport, we also have lockable document bins to help with securing the initial collection process.

If you require your document disposal to be in a public visible space, Access Records has secure executive style cabinets available if needed.

Certificate of Destruction

Safeguarding your secure documents and ensuring the documents are fully destroyed provides assurances for both information privacy & client security.

Access Records provides its clients with a certificate of destruction explaining the date and time of the shredding service which is a valuable record of compliance for businesses dealing in secure information.

Security Standards

Access Records staff are fully bonded with thorough background checks prior to hiring. All our employees understand the need for confidential and secure shredding of your documents.

Our buildings have:

  • 24/7 intrusion monitoring & alarm services
  • Closed circuit video surveillance
  • Key-card controlled access points
  • Double perimeter fencing

Access Records is constantly reviewing processes and improving our security standards whenever we see the opportunity.

Recycling of Shredded Documents

After documents have been securely destroyed the resulting paper pulp is very easy to recycle and Access Records strives to recycle 100% of the remaining paper pulp to protect the environment and save trees.

Access Records also has cardboard destruction containers available for clients who are eager to reduce their footprint and make use of recyclable materials.

Document Shredding Capacity

Our onsite shredding services can be scheduled to ensure that your documents are not piling up waiting for safe shredding & destruction.

Access Records is very flexible and we can even arrange unscheduled pickups of documents to ensure we empty your bins each time we are in your area.

For larger clients we have 100lb & 200lb bins that are lockable for added security.
